Who we are

This website is run by Oakwood Group FZC, the company behind Oakwood Digitech, licensed in the Sharjah Publishing City Free Zone, UAE (Trade Licence 4421634.01). In this policy, 'we', 'us' and 'our' mean Oakwood Group FZC, which decides how the personal data described here is used.

You can contact us about privacy at hello@oakwooddigitech.com. This policy is written with the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) in mind.

What the contact form collects and why

When you send an enquiry through the form, we receive the details you enter: your name, your business name if you give it, your email address, your phone or WhatsApp number if you give it, the type of project, an optional budget band, your message and how you would like us to reply.

We use these details only to reply to your enquiry, discuss your project and, if we agree to work together, to prepare a quote and manage that work. The basis is the consent you give by sending the form, and the steps needed before and during a contract you ask for.

If you contact us by email or WhatsApp instead, we receive whatever you choose to send through those services, which have their own privacy policies.

We don't ask for, and you shouldn't send, identity documents, Emirates ID numbers, passport details or payment card details. We don't sell your data, add you to a mailing list or send you marketing messages unless you separately ask us to.

How enquiries reach us and how long we keep them

Form submissions travel over an encrypted connection and reach our team by email, through our mail provider. The website itself does not keep a database of enquiries.

Our hosting and mail providers may store or process your data outside the UAE. They act only to deliver and store messages on our behalf.

We keep enquiry messages for as long as needed to deal with your enquiry and any project that follows, and no longer than 24 months after our last contact, unless we work together and records must be kept longer for accounting or legal reasons.

To protect the form from automated spam, the site checks how quickly the form was filled in and briefly limits how many submissions one connection can send. Your IP address is used for that check for a short time only and is not stored with your enquiry.

Analytics

This site uses Google Analytics 4 to understand how it is used: which pages are visited, roughly where visitors are (city or country), the type of device, and actions such as clicking the WhatsApp button or sending an enquiry. We use it only to understand visits and improve the site, not for advertising.

Google Analytics uses cookies, and Google processes this data on its servers, which may be outside the UAE. Google Analytics 4 does not store IP addresses. Form contents, names, email addresses and phone numbers are never sent to analytics.

You can block analytics cookies in your browser settings, or install Google's opt-out add-on.

Your rights and how to reach us

You can ask to see the personal data we hold about you, to correct it or to delete it. You can also withdraw your consent, or object to how your data is used, at any time.

To make a request, email hello@oakwooddigitech.com or use the contact page, and tell us what you would like us to do. We will respond within one month.

If this policy changes, the updated version will be published on this page with a new date.
